Work Orders Overview

Work orders are used to define tasks and to assign work to employees in your municipality. Activities and costs are tied to the completion of the work order and can be billed to another agency, department, or individual. The Work Orders module is integrated to the Miscellaneous Billing module for billing and collections.

A customer enters a request into the system,which generates a Request for Action (RFA). The RFA prompts users in your organization to create a work order that alerts a crew or individual to go out and do work. The work order is compared to other open work orders and either a new work order is created or it is attached to an existing work order.

Work orders have the following features:

  • A work order can have one or more tasks associated with it.
  • Each work order task can be scheduled or assigned to an individual.
  • Work orders are reactive in nature for emergency work, rather than proactive and scheduled.
  • A work order can have multiple costs/fees associated with it.
  • Work orders have a workflow/approval process for completion purposes.
  • Work orders have a notification process that utilize both internal notifications and e-mail alerts. For example, an inspection can generate an activity for the electric department, which upon completion goes to the permit office.

A work order has the following life cycle:

  1. Work is requested and approved.
  2. The tasks are scheduled and worked on.
  3. The work order is completed.
  4. Results are tabulated and analyzed.

Before users can access the Work Order module in New World ERP, the system administrator in your municipality must set up the work order components.
